This Privacy Policy explains how Idaho Software Development LLC, doing business as Job Workflow PRO ("Job Workflow PRO," "we," "us," or "our"), collects, uses, discloses, and protects personal information when you visit our website, create an account, or use our web and mobile applications and related services (collectively, the "Services").

Job Workflow PRO is a business-to-business platform used by trade and restoration companies ("Customers") to manage their jobs, crews, billing, and the contents and documentation associated with those jobs. This policy describes our own privacy practices. Where we process information that a Customer uploads or generates about its own clients and projects ("Customer Content"), the Customer is the controller of that information and we act as its service provider/processor, handling that information on the Customer's behalf and under our agreement with them. If you are an individual whose information appears in a Customer's account (for example, a homeowner or policyholder), please direct your privacy requests to the Customer that engaged you; we will support them in responding.

By using the Services, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the Services.

1. Information We Collect

We collect information in three ways: information you provide to us, Customer Content you store in the Services, and information collected automatically when you use the Services.

Information you provide

  • Account and profile information — name, email address, phone number, company name, job title or role, and password or other credentials.
  • Billing and payment information — billing contact, billing address, and bank account or ACH details used to pay for the Services. Payment and bank details are collected and processed by our payment processor; we do not store full bank account numbers on our own systems.
  • Communications — messages, support requests, feedback, and other information you send to us or generate when you contact us or submit a form (such as a demo or trial request).
  • Employment and payroll-related information — for Customers using time-tracking, pay rates, employee categories, and time entries you enter for your workers.

Customer Content

Customers and their authorized users store content in the Services to run their business. This may include job records; notes, photos, and documents; contents inventories and item descriptions; moisture and drying logs; signatures and signed documents; and the names, addresses, contact details, claim or insurance information, and other details of the Customer's own clients and projects. Customers decide what Customer Content to upload and are responsible for it.

Information collected automatically

  • Usage and device data — log information, IP address, browser and device type, operating system, app version, pages or screens viewed, and actions taken in the Services.
  • Location data — when a user clocks in or out using time-tracking with location enabled, we collect the device's GPS location at the time of that event to verify on-site presence. Location is collected only at clock events, not continuously in the background.
  • Cookies and similar technologies — we and our service providers use cookies and similar technologies to keep you signed in, remember preferences, secure the Services, and understand usage. See "Cookies and Tracking Technologies" below.

2. How We Use Information

We use the information described above to:

  • Provide, operate, maintain, and secure the Services and your account.
  • Process subscriptions, usage-based charges, and payments, and send related billing communications.
  • Authenticate users and protect against fraud, abuse, and unauthorized access.
  • Provide customer support and respond to your requests.
  • Generate AI-assisted features you enable, such as item descriptions and pricing estimates (see "AI-Assisted Features" below).
  • Send service, security, and administrative messages, and — where permitted — product updates and marketing you can opt out of.
  • Monitor, analyze, and improve the performance, reliability, and features of the Services.
  • Comply with legal obligations and enforce our agreements.

We process Customer Content only to provide and support the Services, as directed by the Customer, and as permitted by our agreement with the Customer and applicable law.

3. AI-Assisted Features

Certain optional features use third-party artificial intelligence providers to generate content such as item names, descriptions, and pricing estimates. When you use these features, the relevant inputs — which may include item details and photographs — are sent to our AI providers to produce a result that is returned to you.

AI-generated output is an automated estimate or suggestion, not a professional appraisal, valuation, or advice, and may be inaccurate or incomplete. You are responsible for reviewing and verifying AI output before relying on it. We do not permit our AI providers to use your inputs to train their general-purpose models except as needed to provide the feature, subject to those providers' terms.

4. How We Share Information

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We disclose information only as described here:

  • Service providers and subprocessors — we use trusted vendors to host and run the Services and to deliver specific features. These include cloud hosting and infrastructure providers, our payment processor, accounting integration providers (when you connect QuickBooks Online), electronic-signature providers, email and SMS delivery providers, and AI providers. They may process information only to provide services to us and are bound by confidentiality and data-protection obligations.
  • At your direction — when you connect a third-party integration (such as QuickBooks Online or an e-signature provider), we share the information needed to perform the actions you request through that integration.
  • Within your organization — Customer Content and account activity are visible to authorized users in your company account according to their roles and permissions.
  • Legal and safety — we may disclose information if required by law, subpoena, or legal process, or where we believe disclosure is necessary to protect the rights, property, or safety of Job Workflow PRO, our users, or others, or to investigate fraud or security issues.
  • Business transfers — if we are involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to this Privacy Policy.

5. Data Retention

We retain account and Customer Content for as long as your account is active and as needed to provide the Services. After an account is closed, we retain Customer Content for a limited period to allow for export and recovery, after which it is deleted or de-identified, except where we are required or permitted to retain it longer (for example, to comply with legal, tax, accounting, or security obligations, or to resolve disputes). We retain billing records as required by law.

6. Security

We use administrative, technical, and physical safeguards designed to protect personal information, including encryption of data in transit, access controls, and authentication. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security. You are responsible for keeping your credentials confidential and for configuring user roles and permissions appropriately within your account.

7. Your Choices and Rights

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, to opt out of certain processing, and to appeal a decision about your request. To exercise these rights with respect to your account information, contact us at the address below; we may need to verify your identity before responding.

If your information appears in a Customer's account as Customer Content, the Customer controls that information. Please direct access, correction, and deletion requests to that Customer; we will assist them as their service provider.

U.S. state privacy rights

Residents of California and certain other U.S. states may have rights to know, access, correct, delete, and obtain a portable copy of personal information, and to be free from discrimination for exercising these rights. We do not sell personal information or share it for cross-context behavioral advertising, and we do not use or disclose sensitive personal information for purposes that require an opt-out under applicable law. Marketing communications

You can opt out of marketing emails using the unsubscribe link in those messages. We will still send you service, security, and transactional messages related to your account.

8. Mobile Application and Device Permissions

Our mobile application for field technicians may request the following device permissions, each used only for the stated purpose. You can grant or revoke these permissions at any time in your device settings; some features may not work without them.

  • Camera — to capture photos of jobs, rooms, and items.
  • Photos / media — to upload images from your device to a job or item.
  • Location — to verify clock-in and clock-out at job sites; collected only at clock events, not continuously.
  • Push notifications — to send job, approval, and status alerts.

The app may also store data on your device to support offline use; this data syncs to the Services when a connection is available.

9. Cookies and Tracking Technologies

We use cookies and similar technologies that are necessary to operate the Services (for example, to keep you signed in and to secure your session), to remember your preferences, and to understand and improve usage. You can control cookies through your browser settings, but disabling necessary cookies may affect how the Services function. We do not use cookies for third-party advertising.

Analytics on our public website. Our public marketing pages and blog use Google Analytics to understand which pages and articles people find useful. It collects standard web analytics data such as pages viewed, approximate location derived from IP address, referring site, device and browser type, and whether a visitor requested a trial. We do not send Google Analytics any names, email addresses, phone numbers, or customer data. Analytics is not enabled inside the signed-in application, so your job, customer, and photo data is never shared with Google Analytics. You can opt out across all sites using Google’s browser add-on at tools.google.com/dlpage/gaoptout.

10. International Data Transfers

We are based in the United States and process information there. If you access the Services from outside the United States, you understand that your information may be transferred to, stored in, and processed in the United States and other countries where we or our service providers operate. Where required, we use appropriate safeguards for such transfers.

11. Children’s Privacy

The Services are intended for use by businesses and their personnel and are not directed to children. We do not knowingly collect personal information from children under 16. If you believe a child has provided us personal information, please contact us and we will take appropriate steps to delete it.

12. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the effective date above and, where appropriate, provide additional notice (such as by email or an in-app notice). Your continued use of the Services after an update means you accept the revised policy.
